Who is responsible for your information
Point Locum Limited publishes and operates the Allied Check-In app and is responsible for the personal information described in this policy. You can contact us at info@pointlocum.com.
The app is used by Allied Pharmacies to manage relief team attendance. Allied Pharmacies holds your employment records separately under its own privacy notice.
What we collect
- Your full name, as entered when you sign in
- The PIN issued to you by your coordinator, stored in a hashed form (we cannot see your PIN)
- Your check-in and check-out times, and the branch or location you check in at
- Your device's location at the moment you check in or out, used to confirm you are at the assigned branch. We do not track your location in the background or at any other time.
- A device identifier, used to recognise the device you check in from and to flag when a new or unfamiliar device is used
- Mileage and travel details you record in the app
- Tasks you mark as completed during a shift
- A mobile number where you have provided one, used to send shift-related notifications
Why we collect it
- To confirm attendance at the correct branch and at the correct time
- To calculate travel and mileage claims
- To let managers see shift coverage and task completion
- To protect against someone else checking in on your behalf
- To send you notifications about your shifts
Our lawful basis is legitimate interests — operating a staff attendance system and preventing misuse of it — and, where your check-in supports payment, performance of your contract.
Who we share it with
- Allied Pharmacies managers and coordinators responsible for your shifts
- Supabase, which hosts the app's database and stores your records securely
- Our notification provider, where you have given a mobile number, solely to deliver shift messages
We do not sell your information, use it for advertising, or share it with anyone else except where we are required to by law.
How long we keep it
We keep your information only for as long as it is needed for the purposes described above. Attendance and travel records are retained in line with Allied Pharmacies' record retention schedule and applicable payroll and tax requirements. Location and device information linked to individual check-ins is deleted once it is no longer needed to verify attendance.
Your rights
Under UK data protection law you have the right to ask us for a copy of your information, to have inaccurate information corrected, to ask us to delete information we no longer need, to object to or restrict how we use it, and to receive your information in a portable format.

Security
Your information is transmitted over encrypted HTTPS connections and stored in a secure database with access restricted to authorised managers. PINs are stored hashed and are never visible to anyone, including us.
Changes to this policy
If we change how we use your information we will update this page and change the "Last updated" date above.
